The Stand
  • On your stand

    Please expect the following fixtures within your stand:

    Structure: 2 white steel frame space dividers incorporating 3 possible, separate exhibition modules:

    • exhibitor branded graphics module (recycled foam board material insert, 900x1775mm) MANDATORY FOR SMALL STANDS

    then please choose between:

    • rail module (square rail for hanging samples, 25mm x 25mm; hanging length: 1353mm maximum space) – includes rectangular wooden panel with laser-etched exhibitor logo

    OR

    • shelving module including 3 shelves (300mm x 950mm each, space between shelves from lowest to highest: 385mm, 385mm, 540mm) – includes rectangular wooden panel with laser-etched exhibitor logo

    Furniture: a high display table and a high chair will be provided at your stand to create a business area.

    Exhibitor branded graphic module:

    The artwork for your exhibitor branded graphics module must be emailed to
    [email protected] by 11am CPH time today, Wednesday 24 April 2019. Please design to the following dimensions: 900x1775mm.

    • Please send as an InDesign package + printable PDF file PDF/X-4. All Black colored vector graphics must have following CMYK color: C30 M30 Y30 K100.
    • All images used in the artwork must be min120dpi.
    • IMPORTANT: please include a 5mm bleed + cutting marks.

    We will print and install the branded graphics on your booth ready for your arrival at the Summit.

  • Wifi

    Free WIFI will be available. Hardwire internet connections will not be available for any exhibitors and cannot be arranged onsite.

    Please do not rely on the venue wifi for any cloud-based solutions onsite.

    Please contact us for questions on this ASAP.

  • Signage

    Exhibitor pop-up / roll banners are not permitted anywhere on the Copenhagen Fashion Summit show floor. Please do not bring them with you as you will be asked to take them down.

     

    Please see ‘On Your Stand’ for instructions regarding submitted graphic design for the Exhibitor Branded Graphics Module on your stand.

    We will print and install the branded graphics on your booth ready for your arrival at the Summit.

  • Floorplans

    Floorplans and stand locations will be available to view in the coming weeks (pre-event).

    Floor plan positioning for each exhibitor within the Innovation Forum is decided by the Copenhagen Fashion Summit commercial team and cannot be changed.

    In the folder ‘Images’, you’ll find photographs from last year’s Summit and Innovation Forum which was produced in the same venue and style as our 2019 plans.

  • BUILD DAY

    Build day access times (Tuesday 14 May 2019)

    There will be a help desk during build day where you can register and our team will show you around the venue / to your individual stand

    During these times, exhibitors are invited to come to the venue to dress and check their stand so that it is completely ready for show opening the following morning. We are unable to amend stand production details in any way on the morning of the Summit opening.  

    All stands must be tidy and ready for show opening (storage boxes and suitcases removed) in order for the venue cleaning staff to clean all areas of the exhibition hall by end of day Build Day.

  • Exhibitor Drinks

    We’ve arranged a very casual meet-up in Nyhavn (Copenhagen’s stunning central harbor area) for all Innovation Forum exhibitors to meet for a drink the evening before day 1 of Copenhagen Fashion Summit.

  • Exhibitor Registration

    All exhibitors must register for Copenhagen Fashion Summit before the event by Tuesday 7 May 2018.

     

    You will register through an individual registration link that will be sent to you directly in the coming weeks.

     

    When you’ve registered, you will receive a confirmation e-mail with your exhibitor tickets enclosed. The tickets will grant you access to not only the Summit entrance and exhibition area, but also to all plenary session on the main stage at the Summit venue.

     

    All Innovation Forum 2019 exhibitors will receive a 20% discounted ticket for the official Summit Dinner as an optional add-on when you register at the provided link.

  • Exhibitor Summit Seating

    Seating in the Summit stage Concerthall is allocated to all attendees of the summit including speakers and press.

    For this reason, we have reserved the 3rd Balcony in the Concerthall for all Innovation Forum exhibitors. This is an area you can drop in and out of freely during the two-day event.

  • Matchmaking

    The matchmaking programme is available for the small, medium and large exhibitions stands.

    Innovation Forum exhibitors have the opportunity to participate in a matchmaking programme where they will be carefully matched with fashion brands and retailers. Pre-scheduled meetings will be set up based on a thorough content screening of all participating organisations (by the GFA team), and leading up to the Summit (beginning of May) all exhibitors will receive a schedule with their meetings.

  • Pre-event Shipping instructions

    If you need to ship anything before the Summit please see the following guidelines:

    NOTHING CAN BE SHIPPED DIRECTLY TO THE CFS VENUE.

    Everything shipped must arrive at the GFA office between Monday the 6th of May and Wednesday the 8th of May.

    You must use the provided Shipping Label on the boxes (please complete, print and visibly tape onto outside of box) and send a completed copy via email to [email protected] no later than Wednesday 1 May.

    The shipping address to be used can be found on this document, which can be found in downloads at the top of this page.

    Please note, we will not be opening any boxes between shipment and build day

    As a guide, you can ship no more than one box of 40x40x50 cm
    The boxes cannot be more than 20 kg.

    If your shipment exceeds these restrictions, we will charge an extra handling fee to invoice post-event.
    Please contact us as soon as possible and we can help find the best solution.

    Don’t forget that you can also bring stand material with you to Copenhagen rather than ship to it Copenhagen pre-event.

  • Post-event Shipping instructions

    If your shipment requires collection from our GFA offices in Copenhagen AFTER the event, please arrange all collections to take place between Monday 21 May and Wednesday 23 May.

     

    At the end of CFS2019 during break-down, there will be info sheets available on site during break down that all exhibitors must complete and stick to your boxes onsite.

    (If you plan to take your shipments away with you on break-down please let us know onsite)

     

    If your shipment is not collected from our GFA offices in Copenhagen between Monday 21 May and Wednesday 23 May, we will charge an extra handling and storage fee to invoice.

  • Parking

    There is plenty of parking at the venue, available to all attendees and contributors. More information (in Danish) can be found via this link. Please note: parking is not free and will have an attached cost.

  • Venue Wardrobe

    This is available for free at the Copenhagen Fashion Summit venue and available for all attendees and contributors to leave coats, jackets and small items of luggage.

    Please use the Venue wardrobe as we cannot have coats and bags on the floor around / behind your stand area. Stands within the Innovation Forum do not have locked or storage area.

  • Food & Drink

    As a contributor to Copenhagen Fashion Summit, each registered exhibitor team member is entitled to all Summit event catering options – just like our Summit attendees, speakers and production team are. This includes: breakfast, lunch, drinks and healthy snacks.

    For your convenience and if possible, please head to the catering area of the Summit venue as early as possible (just before the start of each day’s breaks if possible – especially at lunch!).

Exhibitor Regulations
  • Exhibitor regulations

    1. The participants are under obligation to use the Copenhagen Fashion Summit venue (including their own exhibition area), in accordance with the purpose of the event. Copenhagen Fashion Summit is entitled to dismiss or expel a participant failing to comply with this requirement.
    2. Signage and advertising, both inside the hall and externally at the venue may only take place with the approval of Copenhagen Fashion Summit. This does not apply to on-stand advertising for the participant’s own exhibiting company.
    3. Copenhagen Fashion Summit exhibitors may not host any other external / affiliated companies within their exhibition stand space without the Copenhagen Fashion Summitorganisers awareness and approval.
    4. Construction, fair and promotional materials must be kept inside the participant’s own exhibition area during the event – for the purpose of the event flow, venue cleaning, escape routes, etc.
    5. The participants are obliged to comply with all authority requirements, including those of the fire service and the police.
    6. If a participant wishes to change the venue’s fixed elements, Copenhagen Fashion Summit’s Production Team must be notified of this ahead of this ahead of the event. Venue elements may only be altered by a certified installer approved by Copenhagen Fashion Summit. The installer is responsible for proper performance of the element and must report the finished work to the Copenhagen Fashion Summit team.
    7. The participants must not set up or use loudspeaker systems on their exhibition stands without the approval of the Copenhagen Fashion Summit Production Team. The individual participant is responsible for obtaining the necessary license to play copyrighted music.
    8. Event participants are obliged to comply with the regulations of the Danish Working Environment Authority, details of which may be found in the Authority’s Executive Orders and Guidelines. Seewww.arbejdstilsynet.dk
    9. The number and width of emergency exits prescribed by the fire service in each case must be kept passable and hall doors, windows and lift entrances must be unobstructed.
    10. The hall floor must not be exposed to greater load than the structural maximum, and the use of heavy vehicles, including trucks with solid tires, is prohibited. Planks must be laid to transport heavy equipment or machinery. Any venue damage resulting from this activity must be paid for by the participant before the end of the event itself.
    11. The use of nails and screws, etc. in venue architecture (floors, walls, ceilings, columns, stairs,etc) is not permitted – this also includes all provided exhibitor stand material. Any venue damage resulting from this activity must be paid for by the participant before the end of the event itself.
    12. Copenhagen Fashion Summit takes no responsibility for loss or damage (including fire/water damage). Any injury or damage sustained by the participants or visitors is not the concern of Copenhagen Fashion Summit.
    13. The above will be overlooked if the damage or injury is attributable to deliberate or gross negligence on the part of Copenhagen Fashion Summit’s management or staff.
    14. To limit the risk of theft, we recommend that valuables are not left on the stand when unmanned, or when Copenhagen Fashion Summit is closed. Copenhagen Fashion Summit accepts no responsibility for exhibitors’ property. There are no opportunities at Copenhagen Fashion Summit for storage of valuables.
    15. The eventorganisers ask exhibitors to inform Copenhagen Fashion Summit should any PR activation (photographs / video footage) be planned during the event on the exhibitor stand.  Copenhagen Fashion Summit hosts a number of high profile guests, for whom privacy issues may be sensitive.

    The stand structure will also include one narrow wooden frame module which incorporates the Copenhagen Fashion Summit logo (laser etched into reclaimed wood).

     

    Furniture: a low coffee table and 3-4 standard chairs will be provided at your stand to create a business area.

Exhibitor Regulations
  • Exhibitor regulations

    1. The participants are under obligation to use the Copenhagen Fashion Summit venue (including their own exhibition area), in accordance with the purpose of the event. Copenhagen Fashion Summit is entitled to dismiss or expel a participant failing to comply with this requirement.
    2. Signage and advertising, both inside the hall and externally at the venue may only take place with the approval of Copenhagen Fashion Summit. This does not apply to on-stand advertising for the participant’s own exhibiting company.
    3. Copenhagen Fashion Summit exhibitors may not host any other external / affiliated companies within their exhibition stand space without the Copenhagen Fashion Summitorganisers awareness and approval.
    4. Construction, fair and promotional materials must be kept inside the participant’s own exhibition area during the event – for the purpose of the event flow, venue cleaning, escape routes, etc.
    5. The participants are obliged to comply with all authority requirements, including those of the fire service and the police.
    6. If a participant wishes to change the venue’s fixed elements, Copenhagen Fashion Summit’s Production Team must be notified of this ahead of this ahead of the event. Venue elements may only be altered by a certified installer approved by Copenhagen Fashion Summit. The installer is responsible for proper performance of the element and must report the finished work to the Copenhagen Fashion Summit team.
    7. The participants must not set up or use loudspeaker systems on their exhibition stands without the approval of the Copenhagen Fashion Summit Production Team. The individual participant is responsible for obtaining the necessary license to play copyrighted music.
    8. Event participants are obliged to comply with the regulations of the Danish Working Environment Authority, details of which may be found in the Authority’s Executive Orders and Guidelines. Seewww.arbejdstilsynet.dk
    9. The number and width of emergency exits prescribed by the fire service in each case must be kept passable and hall doors, windows and lift entrances must be unobstructed.
    10. The hall floor must not be exposed to greater load than the structural maximum, and the use of heavy vehicles, including trucks with solid tires, is prohibited. Planks must be laid to transport heavy equipment or machinery. Any venue damage resulting from this activity must be paid for by the participant before the end of the event itself.
    11. The use of nails and screws, etc. in venue architecture (floors, walls, ceilings, columns, stairs,etc) is not permitted – this also includes all provided exhibitor stand material. Any venue damage resulting from this activity must be paid for by the participant before the end of the event itself.
    12. Copenhagen Fashion Summit takes no responsibility for loss or damage (including fire/water damage). Any injury or damage sustained by the participants or visitors is not the concern of Copenhagen Fashion Summit.
    13. The above will be overlooked if the damage or injury is attributable to deliberate or gross negligence on the part of Copenhagen Fashion Summit’s management or staff.
    14. To limit the risk of theft, we recommend that valuables are not left on the stand when unmanned, or when Copenhagen Fashion Summit is closed. Copenhagen Fashion Summit accepts no responsibility for exhibitors’ property. There are no opportunities at Copenhagen Fashion Summit for storage of valuables.
    15. The eventorganisers ask exhibitors to inform Copenhagen Fashion Summit should any PR activation (photographs / video footage) be planned during the event on the exhibitor stand.  Copenhagen Fashion Summit hosts a number of high profile guests, for whom privacy issues may be sensitive.
The Stand
  • On your stand

    Please expect the following fixtures within your stand:

    Area details (dimensions, material, power, lighting) – varied, subject to case by case

     

    Structure: white steel frame space dividers incorporating 3 possible, separate exhibition modules:

    • exhibitor branded graphics module (recycled foam board material insert, 900x1775mm)
    • rail module (square rail for hanging samples, 25mm x 25mm; hanging length: 1353mm maximum space)
    • shelving module including 3 shelves (300mm x 950mm each, space between shelves from lowest to highest: 385mm, 385mm, 540mm)

    Furniture: a high table and two high chairs will be provided at your stand as a business area.

     

    Exhibitor branded graphic module:

    The artwork for your exhibitor branded graphics module must be emailed to
    [email protected] by 11am CPH time today, Wednesday 24 April 2019. Please design to the following dimensions: 900x1775mm.

    • Please send as an InDesign package + printable PDF file PDF/X-4. All Black colored vector graphics must have following CMYK color: C30 M30 Y30 K100.
    • All images used in the artwork must be min120dpi.
    • IMPORTANT: please include a 5mm bleed + cutting marks.

    We will print and install the branded graphics on your booth ready for your arrival at the Summit.

  • Wifi

    Free WIFI will be available. Hardwire internet connections will not be available for any exhibitors and cannot be arranged onsite.
    Please do not rely on the venue wifi for any cloud-based solutions onsite.

  • Additional orders

    If you would like to hire a screen to support the messaging on your booth, please contact Faith directly via email and we can explain the options and costs.

  • Signage

    Exhibitor pop-up / roll banners are not permitted anywhere on the Copenhagen Fashion Summit show floor. Please do not bring them with you as you will be asked to take them down.

     

    Please see ‘On Your Stand’ for instructions regarding submitted graphic design for the Exhibitor Branded Graphics Module on your stand.

    We will print and install the branded graphics on your booth ready for your arrival at the Summit.

  • Insurance

    Copenhagen Fashion Summit requires all large exhibitors to provide a certificate of insurance with liability coverage up to €1, 000, 000  via email to Faith ([email protected]) no later than Monday 6 May 2018.

    Floorplans and stand locations will be available to view in the coming weeks (pre-event).

    You will register through an individual registration link that will be sent to you directly in the coming weeks.

     

    When you’ve registered, you will receive a confirmation e-mail with your exhibitor tickets enclosed. The tickets will grant you access to not only the Summit entrance and exhibition area, but also to all plenary session on the main stage at the Summit venue.

     

    All Innovation Forum 2019 exhibitors will receive a 20% discounted ticket for the official Summit Dinner as an optional add-on when you register at the provided link.

  • Exhibitor Summit Seating

    Seating in the Summit stage Concerthall is allocated to all attendees of the summit including speakers and press.

    For this reason, we have reserved the 3rd Balcony in the Concerthall for all Innovation Forum exhibitors. This is an area you can drop in and out of freely during the two-day event.

  • Matchmaking

    The matchmaking programme is available for the small, medium and large exhibitions stands.

    Innovation Forum exhibitors have the opportunity to participate in a matchmaking programme where they will be carefully matched with fashion brands and retailers. Pre-scheduled meetings will be set up based on a thorough content screening of all participating organisations (by the GFA team), and leading up to the Summit (beginning of May) all exhibitors will receive a schedule with their meetings.

  • Pre-event Shipping instructions

    If you need to ship anything before the Summit please see the following guidelines:

    NOTHING CAN BE SHIPPED DIRECTLY TO THE CFS VENUE.

    Everything shipped must arrive at the GFA office between Monday the 6th of May and Wednesday the 8th of May.

    Please note, we will not be opening any boxes between shipment and build day

    As a guide, you can ship no more than three boxes of 40x40x50 cm
    The boxes cannot be more than 20 kg.

    If your shipment exceeds these restrictions, we will charge an extra handling fee to invoice post-event.
    Please contact us as soon as possible and we can help find the best solution.

    Don’t forget that you can also bring stand material with you to Copenhagen rather than ship to it Copenhagen pre-event.

  • Post-event Shipping instructions

    If your shipment requires collection from our GFA offices in Copenhagen AFTER the event, please arrange all collections to take place between Monday 21 May and Wednesday 23 May.

     

    At the end of CFS2019 during break-down, there will be info sheets available on site during break down that all exhibitors must complete and stick to your boxes onsite.

    • 1 exhibitor branded logo signage panel (300×500 mm). We will produce this from the logo we have received from you.

  • PITCH STAGE PRESENTED BY NAIA FROM EASTMAN

    Innovators from Future Lab are invited to participate in the Pitch Stage presented by Naia from Eastman to compete for the chance to present their solution on the main stage (which is live-streamed to thousands of fashion leaders world wide).

    There will be several heats throughout the two-day Summit where different panels of judges will choose the best two pitchers to compete on the main stage on day 2. The final winner will be chosen by the audience through voting in the official Summit app. More information about scheduling will be sent to all Future Lab Exhibitors on April 12 2019.

    This is available for free at the Copenhagen Fashion Summit venue and available for all attendees and contributors to leave coats, jackets and small items of luggage.

     

    Please use the Venue wardrobe as we cannot have coats and bags on the floor around / behind your stand area. Stands within the Innovation Forum do not have locked or storage area.

  • Food & Drink

    As a contributor to Copenhagen Fashion Summit, each registered exhibitor team member is entitled to all Summit event catering options – just like our Summit attendees, speakers and production team are. This includes: breakfast, lunch, drinks and healthy snacks.

    For your convenience and if possible, please head to the catering area of the Summit venue as early as possible (just before the start of each day’s breaks if possible – especially at lunch!).

Exhibitor Regulations
  • Exhibitor Regulations

    1. The participants are under obligation to use the Copenhagen Fashion Summit venue (including their own exhibition area), in accordance with the purpose of the event. Copenhagen Fashion Summit is entitled to dismiss or expel a participant failing to comply with this requirement.
    2. Signage and advertising, both inside the hall and externally at the venue may only take place with the approval of Copenhagen Fashion Summit. This does not apply to on-stand advertising for the participant’s own exhibiting company.
    3. Copenhagen Fashion Summit exhibitors may not host any other external / affiliated companies within their exhibition stand space without the Copenhagen Fashion Summitorganisers awareness and approval.
    4. Construction, fair and promotional materials must be kept inside the participant’s own exhibition area during the event – for the purpose of the event flow, venue cleaning, escape routes, etc.
    5. The participants are obliged to comply with all authority requirements, including those of the fire service and the police.
    6. If a participant wishes to change the venue’s fixed elements, Copenhagen Fashion Summit’s Production Team must be notified of this ahead of this ahead of the event. Venue elements may only be altered by a certified installer approved by Copenhagen Fashion Summit. The installer is responsible for proper performance of the element and must report the finished work to the Copenhagen Fashion Summit team.
    7. The participants must not set up or use loudspeaker systems on their exhibition stands without the approval of the Copenhagen Fashion Summit Production Team. The individual participant is responsible for obtaining the necessary license to play copyrighted music.
    8. Event participants are obliged to comply with the regulations of the Danish Working Environment Authority, details of which may be found in the Authority’s Executive Orders and Guidelines. Seewww.arbejdstilsynet.dk
    9. The number and width of emergency exits prescribed by the fire service in each case must be kept passable and hall doors, windows and lift entrances must be unobstructed.
    10. The hall floor must not be exposed to greater load than the structural maximum, and the use of heavy vehicles, including trucks with solid tires, is prohibited. Planks must be laid to transport heavy equipment or machinery. Any venue damage resulting from this activity must be paid for by the participant before the end of the event itself.
    11. The use of nails and screws, etc. in venue architecture (floors, walls, ceilings, columns, stairs,etc) is not permitted – this also includes all provided exhibitor stand material. Any venue damage resulting from this activity must be paid for by the participant before the end of the event itself.
    12. Copenhagen Fashion Summit takes no responsibility for loss or damage (including fire/water damage). Any injury or damage sustained by the participants or visitors is not the concern of Copenhagen Fashion Summit.
    13. The above will be overlooked if the damage or injury is attributable to deliberate or gross negligence on the part of Copenhagen Fashion Summit’s management or staff.
    14. To limit the risk of theft, we recommend that valuables are not left on the stand when unmanned, or when Copenhagen Fashion Summit is closed. Copenhagen Fashion Summit accepts no responsibility for exhibitors’ property. There are no opportunities at Copenhagen Fashion Summit for storage of valuables.
    15. The eventorganisers ask exhibitors to inform Copenhagen Fashion Summit should any PR activation (photographs / video footage) be planned during the event on the exhibitor stand.  Copenhagen Fashion Summit hosts a number of high profile guests, for whom privacy issues may be sensitive.

    There will be a help desk during build day where you can register and our team will show you around the venue / to your individual stand

    All stands must be tidy and ready for show opening (storage boxes and suitcases removed) in order for the venue cleaning staff to clean all areas of the exhibition hall by end of day Build Day.

    We’ve arranged a very casual meet-up in Nyhavn (Copenhagen’s stunning central harbor area) for all Innovation Forum exhibitors to meet for a drink on a boat the evening before day 1 of Copenhagen Fashion Summit.

    All exhibitors must register for Copenhagen Fashion Summit before the event by Tuesday 7 May 2018.

    You will register through an individual registration link that will be sent to you directly in the coming weeks.

    When you’ve registered, you will receive a confirmation e-mail with your exhibitor tickets enclosed. The tickets will grant you access to not only the Summit entrance and exhibition area, but also to all plenary session on the main stage at the Summit venue.

    All Innovation Forum 2019 exhibitors will receive a 20% discounted ticket for the official Summit Dinner as an optional add-on when you register at the provided link.

  • Exhibitor Summit Seating

    Seating in the Summit stage Concerthall is allocated to all attendees of the summit including speakers and press.

    For this reason, we have reserved the 3rd Balcony in the Concerthall for all Innovation Forum exhibitors. This is an area you can drop in and out of freely during the two-day event.
